To foster a positive, inclusive, and growth-centric environment, we’ve established clear employee terms and a code of conduct applicable to all team members, whether full-time, freelance, remote, or contract-based.

This document outlines expectations, responsibilities, and values that govern the professional life of every VD Infotech employee.


📋 1. Employment Terms & Engagement

  • Offer Letter & Agreement: All new employees receive an official offer letter and detailed employment agreement outlining designation, compensation, job role, probation (if applicable), and terms of engagement.
  • Probation Period: A standard 3 to 6-month probation applies to most full-time roles, during which performance and cultural fit are evaluated.
  • Employment Type:
    • Full-Time
    • Part-Time
    • Internship
    • Freelance/Contractual
    • Remote/Hybrid

All employment types are governed by company policy and subject to periodic review.


2. Work Hours & Attendance

  • Official Work Hours: 9:30 AM to 6:30 PM IST, Monday to Friday.
  • Flexible and remote schedules are available depending on the role and manager’s approval.
  • Punctuality and consistent attendance are critical to team productivity and professionalism.
  • Absences must be communicated in advance through official channels (email/HRMS).

🌐 3. Professional Conduct & Workplace Ethics

We expect all employees to:

  • Behave professionally with colleagues, clients, and vendors.
  • Show mutual respect regardless of gender, race, background, or belief.
  • Follow directions from reporting managers while contributing positively to collaboration.
  • Refrain from any form of workplace harassment, discrimination, or toxic behavior.
  • Use company assets (laptops, emails, data) responsibly and for work-related activities only.

Violations may result in warnings, suspension, or termination based on severity.


📈 4. Performance Expectations

  • Each employee is expected to meet KPIs and milestones set by their department heads.
  • Regular reviews and feedback sessions are held monthly or quarterly.
  • Underperformance is addressed with mentorship, support, or performance improvement plans (PIPs).
  • Exceptional performers are recognized through bonuses, promotions, and leadership opportunities.

🤝 5. Confidentiality & Data Security

As a tech-driven firm, confidentiality is at the heart of our operations.

  • All employees must sign an NDA (Non-Disclosure Agreement).
  • Sharing client data, code, financials, or trade secrets outside authorized channels is strictly prohibited.
  • Any breach of confidentiality is a legal offense and may attract severe penalties including termination and legal action.

💻 6. Use of Company Property

  • All digital equipment (laptops, monitors, mobile devices) provided by VD Infotech must be used responsibly.
  • Unauthorized software installation or data transfer is not allowed.
  • Intellectual property developed during employment belongs to VD Infotech unless otherwise agreed upon in writing.

🎓 7. Learning & Development

  • Continuous learning is encouraged.
  • Employees may be nominated for certifications, workshops, and training programs.
  • All employees are expected to participate in knowledge-sharing sessions or mentorship opportunities.

🌴 8. Leaves & Holidays

  • Paid Leaves: 12 annually (plus national holidays)
  • Sick Leaves: 7 annually
  • Casual Leaves: 6 annually
  • Maternity/Paternity leave as per Indian government rules
  • Uninformed or extended absences without communication may affect salary or lead to disciplinary action.

🔁 9. Exit & Resignation Process

  • Employees must provide a minimum of 30 days’ notice before resignation (unless waived off).
  • Handover of work, documents, and digital assets is mandatory before the final day.
  • Final settlement is processed within 30 working days after resignation clearance.

🛡️ Policy Violations & Disciplinary Action

Any breach of company policy, code of conduct, or employment terms may result in:

  • Verbal/Written Warnings
  • Suspension or Termination
  • Loss of benefits or incentives
  • Legal escalation (in case of breach of NDA or data policy)

We believe in fairness and due process — all concerns are reviewed by HR before any action.
